Reconciling sales after a stream

This guide covers importing your Whatnot Ledger export, checking the matches it found, handling break spots, and what to do if you don’t have a ledger CSV to hand.

Works for Magic & Pokémon singles

Step by step

Importing and reconciling a ledger

Export your Whatnot Ledger

From your Whatnot seller dashboard, export the Ledger CSV covering the stream(s) you want to reconcile.

Import it into Toploader OS

Open the Ledger import from Seller Mode and choose the CSV file. Sales, payouts, tips, rewards and giveaway costs are read and matched against your inventory automatically.

Review the matches

Check that sold listing names matched the right inventory rows. Fix any that matched incorrectly before applying.

Handle break spots

Listings like “Colour Break” or “Digi Break” are grouped into one event automatically. Assign the sealed product that was cracked so the whole break reconciles as one sale, and move any spot that got grouped into the wrong event.

Apply the reconciliation

Once everything looks right, apply it — stock deducts, and gross revenue, payout and net profit are logged to Analytics.

Check the Ledger summary

Head to the Analytics page’s Ledger summary to see totals for the import, and review individual sales if you need to correct a quantity later.

No ledger CSV? Use manual mapping

If you don’t have a Whatnot Ledger export handy, or you’re reconciling a Show Builder batch directly, you can still close things out manually.

Map a sold item name to the matching inventory row by hand.

Set a quantity multiplier for lots or grouped listings.

Mappings are remembered per profile, so the same listing name matches faster next time.

Show Builder batches have their own post-show reconciliation dialog — enter sold quantities by show line instead of importing a CSV.

Common questions

I made a mistake after applying — can I fix it?

Yes. Edit the logged transaction to adjust stock by the quantity difference, or delete it to restore the original stock level.

Will re-importing the same ledger double my sales?

No — rows without a repeat order ID and rows already imported are recognised and not applied twice.

Does this work for Pokémon singles?

Yes, Ledger import and manual mapping both work the same way for Magic and Pokémon singles.
