Settings, backups and activating your licence

This guide covers what’s in Settings, how backups actually work, managing multiple inventory profiles, and activating a Collector or Pro licence.

What’s in Settings

Settings applies to the whole app, not one profile

Fee settings, listing defaults, theme and Shopify export settings are shared across every inventory profile — only your inventory, sales, shows and images are kept separate per profile.

£

Whatnot Fees

Commission %, Payment Processing %, a flat transaction fee and VAT on fees, plus rounding rules for how singles get priced.

◑

Interface Defaults

App theme, region/currency, and which Inventory view and Analytics metric/chart open by default.

€

Cardmarket Pricing

Choose Trend, 30-day Average or Low as your preferred price metric. The Cardmarket guide itself refreshes once a day.

CSV

CSV Export Defaults

Default category, subcategory, condition, listing type and shipping profile, plus title/description templates for singles, sealed and accessories.

⇄

Shopify Export Settings

Separate vendor, product type, tags and inventory-policy settings for MTG and Pokémon singles.

◫

Data Management

Manage inventory profiles, back up or restore your active workspace, and change where your data is stored on disk.

How backups actually work

A silent automatic backup runs a few seconds after every launch, keeping the last 10 rolling copies of your inventory, sales and collector database.

These rolling backups aren’t restorable from a button in the UI — they’re a safety net on disk, not a day-to-day restore tool.

For a restorable backup, use “Backup Active (.zip)” in Data Management — this saves a full workspace zip you choose where to keep.

Use “Restore Into Active” to load a previously saved zip back in — you’ll be asked to confirm, since it overwrites your current active workspace.

Managing inventory profiles

Open “Manage Inventories” to create, duplicate, rename, switch to, back up or archive a profile.

Merging one profile into another walks you through any conflicting items, letting you add quantities together, keep the destination version, or replace it.

Use “Bulk Move to Inventory” from the Inventory table to move selected items’ full stock to a different profile — local images move with them.

Archiving a profile moves it aside rather than deleting it outright, and you always need at least one profile remaining.

Licensing

Activating Collector or Pro

Buy a licence

Purchase Collector or Pro through Lemon Squeezy — monthly, annual, or the limited-time Founders lifetime option.

Enter your licence key

In Settings, paste your key into the Licence Key field and choose Activate.

Confirm it’s active

The status label confirms activation and which plan unlocked. Use Check any time to re-validate manually.

Deactivate if you switch devices

Deactivate on a device before activating on a new one if you’re at your activation limit.

FAQ

Common questions

My licence says it needs reconnecting — why?

Toploader OS allows up to 14 days offline before a licence needs to re-validate. If you’ve been offline longer than that, reconnect and it will revalidate automatically.

If I change my Region/Currency, does it apply everywhere?

Yes — it’s a shared setting, so changing it in either Seller or Collector Settings updates both.

Can I move where my data is stored?

Yes, “Change Storage Location” in Data Management copies everything to a new folder and asks you to restart the app to finish.
